(Official Participant Guidelines)

Welcome to Beyond The Easel, an immersive, three-day celebration of creativity! This studio tour invites the public into the working spaces of artists and makers, offering visitors an intimate look “beyond the easel” at the talent and processes that shape our artistic community.

Whether you’re an established artist, an emerging creator, or a vendor, we’re thrilled to have you join us.

  1. Event Overview

Dates: August 7, 8, & 9
Daily Tour Hours: 10:30 a.m. – 4:00 p.m. (minimum)
Extended hours are encouraged and will be highlighted in promotional materials.

  1. Eligibility & Participation Requirements

2.1 Artist & Vendor Eligibility

  • Open to visual artists, makers, craftspeople, and creative vendors with a studio or booth space appropriate for public tours.
  • Vendors located within another registered studio must coordinate with the hosting artist.

2.2 Professional Standards

  • Spaces must be clean, safe, and publicly accessible.
  • Studios should be organized to allow comfortable visitor flow.
  • A courteous and professional presence is expected at all times.
  1. Insurance Requirements

All participants must maintain:

  • Personal liability insurance
  • Professional insurance appropriate to their practice

Proof must be available upon request.

  1. Signage & Visibility

Studios must ensure:

  • Clear and visible signage from road or walkway
  • Additional directional signs if necessary
  • Optional decorative elements such as flags or banners to enhance visibility

Official Beyond The Easel signage will be provided.

  1. Hours of Operation

Participants must be open:
10:30 a.m. – 4:00 p.m. at minimum, on all three days.

Extended hours (early opening, late closing, demonstrations) may receive additional promotional exposure.

  1. Fees & Payment
  • $150 – Non-Members
  • $100 – Members

Fees support event promotion, signage, administration, and map distribution.

Payment instructions will follow acceptance.

  1. Tour Map Listing & Promotion

Participants may submit:

  • A high-resolution logo (PNG/JPG)
  • Contact information
  • Studio address
  • A short description of their work (30–50 words)

This information will appear on the official Tour Map and digital promotions.

  1. Safety, Conduct, & Compliance

Participants agree to:

  • Adhere to safety and accessibility laws
  • Keep their studio supervised
  • Maintain clear traffic paths
  • Treat guests and other participants with professionalism and courtesy
  1. Cancellation Policy
  • Cancellations 60+ days before the event may receive a partial refund.
  • No refunds are issued less than 30 days before the tour.
  1. Agreement

Submitting the application signifies agreement to all guidelines, policies, and requirements.

  1. Liability & Responsibility Clause

Art Pontiac serves solely as the organizer and promoter of the Beyond The Easel Studio Tour.

By participating, each artist/vendor acknowledges and agrees that:

  • Art Pontiac is in no way responsible or liable for any accidents, injuries, damages, losses, claims, or legal issues arising from visitors entering, touring, or interacting within individual participants’ studios or vendor spaces.
  • Participants accept full responsibility for maintaining a safe, insured, and compliant environment.
  • Any claims or legal matters originating from a participant’s space are solely the responsibility of that participant.
  • Participants agree to hold Art Pontiac harmless from any related claims.

This clause is binding upon participation.

  1. You will be provided with unique stickers for vendors to apply to the back of the advertising studio tour card. Please provide one sticker per Guest. Artists or vendors taking part in the Studio Tour are not permitted to participate in the three smaller draws nor the final grand prize draw.
